Release data for your accountant

All financial information from your company is exported to your accountant only after you release your data for a period.

The only exceptions are invoices and their installments, because they are exported as soon as they are approved by the competent agency. See Export data for your accountant for more information.

To release a period to your accountant, follow these steps.

  1. From the company setup menu, select Accounting Integration.
  2. Enter a date in the Release Data Until field.
  3. Click Release.

It is very important to audit your finances before you release data to your accountant. Otherwise, each correction of data in the already released period will demand corrections in several accounting documents.

If you add any financial data in an already released period, you must release the data from the period again to export this new information to your accountant.

Note: OnBalance will display a reminder for you every month to audit your data from the previous month and release the data to your accountant.

The data that is released to your accountant includes the following items when they are dated on or before the release date.

  • Bills with all their installments (regardless of their due dates)
  • Bill payments
  • Sales receivables
  • Deposits
  • Transfers between financial accounts

If you manage product sales, the following items will also be released to your accountant when they are dated on or before the release date.

  • Purchase bills with all their installments (regardless of their due dates)
  • Purchase bill payments
  • Inventory incomings from purchases
  • Inventory incomings from client returns
  • Inventory outgoings from returns to vendors
  • Inventory adjustments

The inventory outgoings related to product sales are exported to the accountant with the issued invoices. So, this kind of data is another exception to the information that is exported to your accountant when you release your data for a period. 

Note: The export process runs daily at certain times. Therefore, it is expected that your information will take a few hours to be available to your accountant.
